Organizing With Binders
This week I did a FREE webinar called “Ready to Launch 2015 Golden time.” I shared some key strategies to be ready and organized for the “hottest” booking,
selling and recruiting time of the year. The four months September through December are what I call the “Golden Time.” Your business can explode during these high productive months. Especially, if you’re organized with your calendar and your office.
I find the best organizational tools are the simplest
ones. This week in our L.E.A.P. Group coaching session, we shared how we organize our files either digital or with binder systems. It was refreshing to hear from the majority of leaders that they favor binders, and they all posted pictures of their binders systems in our secret FB group.
This week, I want to share with
you THREE binder systems that will help you be organized and have a successful season in the “golden time.”
Call Log Binder. This is one of the best time saving systems I share with my coaching clients today. It’s called the “20 Weekly Call Worksheet” System. It is a worksheet with space to log 20 calls
every week. In this age of technology, people seem to forget that connecting on the phone deepens relationships and builds a stronger business. When they hear the warmth and tone of your voice, rather than interpreting a written email, text or facebook message, they resonate with the authentic you. All the top network marketers still today, keep a call log binder. This system tracks your customer care calls, your follow-up with new business connections, hostess
coaching, prime prospects and team members. When you track your phone conversations, you will find you do more business and become more consistent in earning the income you want. Create a BINDER and keep your log of conversations to look back and schedule more business than every before. Customer Follow-up Binder. Keeping a database with customer information is extremely important in building relationships and customer loyalty in your direct sales business. Your goal is to serve each customer sharing the great benefits of your products, the solutions your product offers and how your products can improve their life. To do that you want to have a simple system to connect with them,
keep them apprized of specials and updates in a timely fashion. Making customer care phone calls builds a strong relationship. Connecting on social media builds strong relationships and sending newsletters and special updates builds strong relationships with customers. The following simple CRM system will help you manage your customer data, schedule follow-up calls, post follow-up social media connections and build strong relationships with your customers all in one
place.
Get a 3-ring binder with Alphabetical divider tabs (A-Z) and clear plastic sheets. If you have over 500+ customers, get 3 binders and separate them A-G, H-R, S-Z.
Place in plastic sheet for each customer
Order Form sales receipts (details of every order)
Customer Address, Telephone numbers, Email
Complete a customer profile sheet for each person
Notes on
customer’s specific preferences
Notes if she is a special hostess
Communicates via Facebook, LinkedIn or Twitter.
Birthday, etc.
After each party, create a file with your hostess & guest order slips. Once the products have been delivered make your first call to each customer (within 2-3 days of delivery date) to insure the product is working for her. File the order slips into your A-Z binder creating a clear plastic sheet for each customer (and hostess.) Next, add a colored sticky note in each person’s file for the
next follow-up date.
New Recruit Binder. This binder system is crucial when helping your new recruit prosper in her first 90 days of her business. Develop a 30-60-90 day calendar for every new recruit. Share a check-list
with her of how to get started. Show her how to schedule her launch parties, set her goals and follow your fast start program. A 90-day success plan for new recruits is the key to growing business builders on your team. Create a New recruit binder and a profile sheet for each new recruit. Add her personal information, her reason for joining. Then track her progress. Has she done her launch party. Has she booked 4 more hostesses? What
help does she need to achieve all three levels of your fast start rewards. Make sure she attends New Recruit Training and Invite her to your next team meeting so you can introduce her to the team. Track each new recruits progress over the 90 day period. Encourage and recognize each of her successes in your team facebook page. Tracking each new recruit’s progress during this crucial time is the fastest way to grow a strong, dynamic team.
Binder systems have been around for a long time and these are just three of many systems that will help you work smarter.
Some people prefer organizing with digital files, but if
you’re like me and work with binder systems, it helps me feel like I’m running my business efficiently. It helps me stay in the flow of saving time. When I know I can pick up a binder, open it up and find exactly what I need, I focus on the task and get the results I need.
